Listen to the podcast and check your answers to Ex 4A. Then discuss the following questions.

  1. Which statistics do you think are the most surprising and / or worrying?
  2. To what extent do you agree with the idea that virtual meetings are more difficult than face-to-face meetings? Why?
  3. What can you do before, during and after a virtual meeting to make people engage with your messages as effectively as possible, particularly with people you don’t know very well.

Four communication principles & ten tips – How to conduct an effective meeting. Principle 1: Engaging positively with other participants
1. Create an open and engaged climate with a warm welcome.
2. Confirm your intention to communicate carefully.
3. Express respect for others’ perspectives to keep people open to your ideas.
Principle 2: Establishing process and context
4. Negotiate the agenda and meeting process so people stay involved.
5. Provide background information to help people understand your message.
6. Direct people clearly to important information provided in a text or on a slide.
Principle 3: Focusing on others’ concerns and understanding
7. Engage people to listen by saying how the topic is relevant for them.
8. Invite comments or offer clarification to participants to support understanding.

Role Play 1: Welcoming a New Team Member

  • Scenario: One participant plays a team leader welcoming a new employee in a meeting.
  • Task: You must create an open and positive atmosphere, confirm your intention to communicate effectively, and acknowledge the perspectives of the new team member and existing colleagues.

Role Play 2: Handling a Disagreement Respectfully

  • Scenario: Two participants discuss different approaches to a project.
  • Task: You must express respect for each other’s perspectives while advocating for your ideas.

Role Play 3: Setting the Meeting Agenda

  • Scenario: One participant plays the meeting facilitator and the others are attendees.
  • Task: The facilitator must negotiate the agenda, ensure everyone is engaged, and confirm the process.

Role Play 4: Presenting Background Information

  • Scenario: A presenter explains a new company policy or legal change.
  • Task: You must provide enough background for understanding and direct people to key information in slides or documents.

Role Play 5: Making a Topic Relevant

  • Scenario: A manager introduces a change in company policy to employees.
  • Task: You must explain why the change is important and relevant to the audience.

  • Scenario: A trainer explains a legal concept to a group.
  • Task: You must invite comments, ask questions, and offer clarification to ensure understanding.

Role Play 7: Avoiding Misinterpretation

  • Scenario: A legal professional explains a contract clause to a client.
  • Task: You must clarify what the clause does not mean to avoid misunderstandings.

  • Scenario: A manager gives a project status update in a team meeting.
